An example day

Thursday territory day

This example is 11 stops on real roads in Kansas City, Missouri. In the order the list had them, the round trip is 17 mi and 58 min of driving. Optimized, it's 7.8 mi and 29 min: 9.0 mi and 29 min less, 54% shorter.

A territory day is usually two or three booked meetings with drop-ins and prospects packed around them. Optimize the whole day, then check that each meeting lands near its time. If one doesn't, drag it into place and everything else keeps its place. EZRoutePlanner orders by distance and doesn't know your calendar.

Stops are example points on real streets, not real customers. Distances and times are driving figures for each order.

Where the day goes

What makes routing hard for outside sales reps

01

The CRM knows the accounts, not the roads

An account export is sorted by name, owner or last activity. A pin map in the CRM shows where accounts are, but working out the order to drive them is still done in your head on the way to the car.

02

Booked meetings pin the day in place

Two or three appointments are fixed; everything else fills the gaps. A drop-in on the wrong side of town eats the hour you meant for three accounts near your 11:30.

03

Mileage has to add up

Reimbursed per mile or deducting it yourself, you need a number in the log for each day. Guessing at the end of the week rarely matches what you actually drove.

Start from your list

Bring the spreadsheet you already keep.

Keep notes, contacts and the pipeline in your CRM. EZRoutePlanner keeps the address and one label per stop, and accounts you've already saved aren't added twice, so you can re-export the full account list every quarter and only the new ones come in.

  1. 1

    Export your accounts

Run an accounts or companies report in Salesforce, HubSpot or whatever CRM you use and export it as CSV or Excel. Drop the file in and pick the account name as each stop's label.

  2. 2

    Lasso today's territory

Draw around the area you're working today and create a route from it. Add the prospects that sit near your booked meetings.

  3. 3

    Optimize from home

Save home as your base with Round Trip on, then press Optimize Route. Drag any booked meeting to where its time needs it.

  4. 4

    Drive it from your phone

On the road, pull the route up on your phone. Each account has a Navigate button that hands off to Google Maps, Apple Maps or Waze.

Routing tips for outside sales reps

1

Export the site address, not the billing address

CRM billing addresses are often a head office or a PO box. Export the shipping or location address instead, or the route sends you to an accountant's suite across town.

2

Book meetings by area first

Before you call for appointments, decide which part of the territory each weekday covers. Meetings booked inside today's area leave the drop-ins with short hops instead of cross-town drives.

3

Fill the gaps with nearby prospects

Keep prospects saved alongside customers. When a meeting is booked, select the prospects a few minutes from it on the map and add them to the day's route.

4

Keep an "if there's time" route

On paid plans, make a second route in another color for nice-to-visit accounts. When a meeting ends early you can see which of them sits closest, without rebuilding the day.

5

Log the planned miles each day

The route shows the distance of every leg and the total. Export it to CSV for your log and note any detours, which is far closer than an end-of-week guess. Our guide to mileage for multiple stops covers the rest.

6

Rotate the territory in zones

Split the territory into four or five zones and save one route per zone. Each week you reuse them, adding this week's prospects, instead of planning from a blank map.

Honest fit

What it handles, and what it doesn't

EZRoutePlanner is built for putting a day of stops in the right order and getting them to whoever drives. Here's where that fits outside sales reps, and where you'd want something else alongside it.

Good fit

  • Territory days built from a CRM export (CSV or Excel)
  • Booked meetings, drop-ins and prospects in one optimized loop from home
  • Up to 200 accounts in a route, and one saved route per zone, on paid plans
  • Planned mileage for every leg and every day
  • Sending a route to another rep as a link they open without a login

Not built for

  • No CRM sync: you re-import when the account list changes
  • No meeting times or time windows; you check that booked meetings land where they should
  • No check-ins, visit notes or activity logging
  • No GPS mileage tracking; distances are for the planned route
  • No lead finding or territory balancing between reps

Outside sales reps: questions

What is the best route planner for outside sales reps?

That comes down to what you need besides the route. Sales mapping apps that bundle CRM-style features are usually priced per user, often with a minimum number of seats; our comparisons of Badger Maps and Map My Customers cover them in detail. If you only need accounts on a map in the best driving order, EZRoutePlanner does that from a CRM export, priced per account from $20 a month, with a free plan to try it.

Is there a free route planner for sales reps?

Yes, for a small book of business. The free plan never expires and needs no card; it keeps 30 saved accounts, and the route you're working on can hold 30 stops (unlimited routes, one at a time). A rep with a few hundred accounts outgrows it fast: Starter saves 200 addresses and keeps a route for every zone.

Can I import accounts from Salesforce or HubSpot?

Yes, through an export rather than a live link. Run an accounts or companies report, save it as CSV or Excel, and upload the file. The address fields are picked out for you whether the CRM puts street, city and ZIP in one field or five. When accounts change, export and upload again.

How many sales calls can an outside rep make in a day?

Commonly 6–12 in-person calls in a metro territory, and fewer in a rural one where accounts are 20 minutes apart. Meeting length matters more than anything, but a tight order adds a call or two. Put your meeting lengths and drive times into the stops per day calculator to see your own ceiling.

Can it plan the route around my appointment times?

No. EZRoutePlanner optimizes for the shortest drive and doesn't take meeting times. Most reps optimize the whole day, then drag the booked meetings into place. It works well when meetings are booked inside the day's area.

Can I use it for mileage reimbursement?

It documents planned mileage; it doesn't track it. Every leg of the day carries its distance, and exporting the day to CSV or a PDF route sheet gives you a record to attach to the claim. Work out what the day costs with the route cost calculator.
